When a client submits a work request, we start by assessing the scope of work for the project. This allows us to gain an understanding of the resources needed for successful completion. We then provide an initial estimate of the time and materials required to complete the job. Our estimates are based on our extensive experience and knowledge in the field, as well as our competitive hourly and material rates. We take into consideration the scope of work requested, the difficulty level, and any special requirements needed to complete the job.
Once we have agreed upon an estimate for the job, then there are two ways this can go:
- If the request falls under our project mandate (e.g., website maintenance), then we will move the approved request into production and once complete, we will deduct the time expended on the project from either the subscription service’s allotted usage hours or the prepaid service’s retainer credits, whichever is applicable. This system ensures that any work completed within the agreed estimate is tracked and accounted for.
- If the request is outside of our project mandate (e.g., CRM integration), we will formalize the estimate into a custom quote that includes details on material and labour costs, timeframes and any special services that may be needed. The client will then receive an email with a link to review and authorize the quote. We understand that clients may need additional information or changes to the quote, so we are available to discuss this further before they make a final decision. Once the quote is approved, we then move the request into the production queue, where the team is onboarded and begins to work on the project.
